1 Online privacy statement
The University of Gloucestershire is working with Dialogue by Design, an independent consultation company, to conduct this consultation.
Any personal information you provide will be processed by the University of Gloucestershire, the 'data controller' and Dialogue by Design, the 'data processor', in accordance with the General Data Protection Regulation 2018 (GDPR).
1.1 Lawful basis for processing
Our lawful basis for processing your personal data is your consent. You may withdraw this consent at any time.
1.2 What personal data do we process and why?
1.2.1 Personal data you provide via the registration form
To take part in the consultation via the online form, you have to register and this in turn requires that you give us your name and email address – other personal details are optional. The purpose of registration and the processing of this personal data is:
We use your name and email address to set up a unique account for you, this allows you to log back in and return to your response and your personal information, view it, and update it over the 6 months that the consultation is running. This means that you can respond to other participants responses as the consultation progresses and in general to take a more active part in the ‘Big Conversation’ about the future of Gloucestershire.
We gather optional demographic data about you to check that the consultation is reaching everyone in Gloucestershire.
We gather optional geographic information about you to allow the content of your response to be considered in relation to where you live.
We ask people to enter their organisations name in the optional field to allow those responding on behalf of an organisation to attribute the response to their organisation.
1.2.2 Your IP address
We log IP addresses for the purposes of system administration and to audit the use of our site. We do not link IP addresses to personal information.
We use Google Analytics to track and analyse site visits, but only if you expressly give us permission to do so. Google Analytics logs IP addresses in order to obtain approximate data as to the location of a visitor's computer. To protect privacy these IP addresses are anonymised before they are stored on Google's servers and used in visitor analysis.
Anonymisation is accomplished by deleting the final part (octet) of the IP address, so that the address represents many computers or devices rather than a single computer or device.
You can opt in or out of the setting of cookies that track which pages you visit, but by registering and logging in to the consultation you will be consenting to our use of essential functional cookies in accordance with our cookies policy.
1.3 Will you use this personal information to contact me?
We will only contact you if you give your explicit consent to be contacted when you register for the consultation.
1.4 Who might we share your information with?
The University of Gloucestershire is working with Dialogue by Design, an independent consultation company, to conduct this consultation. Your information will not be shared with anyone else.
1.5 How long do we keep hold of your information?
We will keep and process your personal information up until the end of 2018.
1.6 How can I access the information you hold about me?
If you go to the 'My Profile' page of the website after logging in, you can view and update the details you provided to us on registering for the consultation.
1.7 I would like to take part in the consultation but would prefer not to submit any personal information online

2 Your rights under GDPR
2.1 Right to be informed
You have the right to be informed about the lawful basis upon which we are processing your personal data and the purpose of this processing. We provide this information in our online privacy statement above.
2.2 Right of access
While the consultation is running, you can log in and go to 'My Profile' to view the personal information you submitted to us. After the consultation ends, or at any time, you can contact us at email@example.com and request a copy of any personal data he hold on you.
2.3 Right of rectification
While the consultation is running, you can log in and go to 'My Profile' to delete or correct any personal information you submitted to us. After the consultation ends, or at any time, you can contact us at firstname.lastname@example.org and request the correction or deletion of any personal data he hold on you.
2.4 Right of withdrawal of consent
You have the right to withdraw the consent you gave to process your personal data. While the consultation is running, you can log in and go to 'My Profile' to delete or correct any personal information you submitted to us. After the consultation ends, or at any other time, you can contact us at email@example.com and request the deletion of any personal data we hold on you.
3. Ground rules for participating
3.1 Use of the information provided for reporting purposes. A summary report of this consultation will be made available. Responses to this consultation will be displayed on a public website and may be included in published reports. A list of participants who have registered and a list of participants who have responded to the consultation may be displayed on a public website and may be included in published reports.
3.2 Attribution of consultation responses in published documents and on this website. For responses made by individuals the response will be displayed but the respondent’s name will not. For responses made on behalf of an organisation, the organisation name will be displayed together with the response, but not the name of the individual who made the response.
3.3 Inclusion of personal information in the body of consultation responses. If a consultation response contains a reference to the participant’s details, or details of other individuals or organisations, we will assume that the participant is happy for the response to be displayed on this website and/or in reporting documentation including any such details and that they take full responsibility for such disclosure.
3.4 Users are prohibited from impersonating another person and from posting material that is obscene, defamatory, threatening, harassing, abusive, hateful, or embarrassing to any person or entity, or any sexually explicit image, any advertisement or solicitation of business, chain letters or pyramid schemes. We will remove any such material at our discretion.
3.5 You may only register once for this consultation; during the consultation period, you can update and amend your comments at any time by logging onto the website.

5.1 Dialogue by Design makes every effort to represent the information passed on to us by our client accurately on this website. We cannot accept responsibility for any inconvenience, loss or damage caused as a result of inaccurate information on these pages. Dialogue by Design provides links to websites maintained by other organisations as part of our service, but we cannot accept any liability for their accuracy or content nor do we endorse any externally linked sites.
